About the DC History Center

Established in 1894 and located at the Carnegie Library in Downtown, the DC History Center is a community-supported nonprofit organization, which deepens understanding of our city’s past to connect, empower, and inspire. It collects, interprets, and shares the history of our nation’s capital through research and scholarship, adult programs, youth education, exhibits, and community engagement. Position Summary

The Development and Operations Coordinator, a newly created full-time position, provides day-to-day administrative support to key functions at the DC History Center: development and operations, as well as public programs and education. This position will also manage special events. It is an entry-level position and allows for developing skill sets and competencies in multiple areas. The Coordinator reports to the Senior Manager, Operations and HR, and works closely with the Foundation and Individual Giving Manager.

Primary Responsibilities

Finance and HR Operations (40%)

  • Support accounts payable and accounts receivable with vendor set-up, tracking, and reminders.
  • Coordinate logistics for team hiring processes, to include posting available positions, scheduling interviews, and managing JobScore (our applicant tracking system).
  • Assist with purchasing and organization of general office materials and supplies.
  • Manage the general voicemail box and emails to info email.
  • Manage keys and facilitate the property access of vendors and guests.
  • Develop and refine standard operating procedures for office operations, building on our current systems.
  • Provide scheduling support for the Executive Director and Senior Manager of Operations and HR for meetings with contractors, donors, and relevant external meetings.
  • Provide logistical and administrative support for Board and Board committee meetings (e.g., scheduling, AV set up, any catering), and manage documents on Board communication platform (Easy Board).
  • Schedule and coordinate logistics for weekly staff meetings, monthly strategic planning sessions, retreats, and special internal events, including social occasions such as birthdays.

Development and Membership Operations (35%)

  • With guidance from the Foundation and Individual Giving Manager, implement mailed and digital fundraising campaigns (e.g., pull and clean mailing lists; print and stuff envelopes; work with external printer for special mailings; set-up and send emails via Mailchimp).
  • Manage donor database and website interface, including recording all contributions, updating addresses, developing campaign pages and other back-end modifications, and generating necessary reports and mailing lists to inform development strategy.
  • Manage membership and donation acknowledgements and renewals.
  • Ensure seamless and ongoing fulfillment of membership benefits at all levels.
  • Provide patient and diligent customer service support in stewarding donor and member experiences.

Special Events and Programs (20%)

  • Run logistics for fundraising events (typically 1-3 per season) such as on-site fundraisers or small off-site receptions hosted by Board members.
  • Handle requests for use of DC History Center spaces and serve as primary point of contact for our third-party special events consultant.
  • Support logistical planning for special events and programs, to include invitations and RSVPS, managing catering, music, floral decorations, nametags, and day-of set up.
  • Manage logo recognition sponsorship benefits for corporate donors.
  • Assist with programs and events supporting the DC History Center’s content areas on an as-needed basis, including all “all hands” events such as the DC History Conference, Open Day, and DC History Center fundraising events.

General (5%)

  • Actively participate in staff meetings, including monthly strategic planning sessions.
  • Collaborate with the DC History Center team in setting organizational goals and priorities that support the fulfillment of Justice, Equity, Inclusion, and Diversity best practices.
  • Proactively pitch in and take initiative with other duties to fulfill our mission on a small team, as it makes sense with the overall job responsibilities and workload.


This is an entry level position. Due to the nature of the position and our city-centered mission, residence in the Washington DMV region is required.

  • Proven ability to prioritize and meet competing deadlines efficiently and effectively
  • Interest in and aptitude for data management and operations; familiarity with contact management databases and other digital platforms a plus
  • Able to be self-directed and thrive with a collaborative team
  • Ability to create and/or adapt processes to strengthen the way teams and the organization operate
  • Strong interpersonal skills; brings warmth and professionalism to building relationships with staff, Board, and supporters
  • Intellectually curious; genuine interest in DC history and culture
  • Bachelor’s degree or familiarity with working in academic settings strongly desired; 3-4 years of relevant work experience and/or Associates Degree also welcome

Compensation and Benefits

The starting salary for this position is $50,000 – 55,000. Comprehensive benefits package includes health, dental, and vision insurance (including employer contribution to health care premiums for employees and dependents); life and disability insurance; and a 403(b) plan with employer match. Full-time employees receive vacation starting at three weeks, three paid personal days, paid sick leave, holidays, and floating holidays. Our central Downtown location is easily accessible from all Metro lines, but on-site parking is not available.
