Position Overview:
Reporting to the Managing Director of Institutional Advancement, FIA seeks a seasoned and experienced Senior Manager of Advancement Services and Systems (SMASS) to join our growing Institutional Advancement team. The SMASS is responsible for maintaining and managing all donor information systems—including reporting and analysis of data, gift processing and acknowledgments, managing data imports, exports, and data entry/extraction/quality initiatives, and other related activities. The SMASS will take the lead in “donor” data analytics, working with key staff and stakeholders across FIA internally and with external donor-data-management vendors to understand data needs and develop actionable insights. FIA’s primary donor database software system is Salesforce. In addition, working with FIA’s Tech Department, the SMASS ensures that any secondary CRMs and external online donation portals are functionally integrated for easy upload of donations to Salesforce. The ideal candidate will have a strong interest in social justice, organizing, and policy.
Responsibilities:
Systems and Database Management
- Manage/maintain the Salesforce donor database including data integrity and updates.
- Develop effective and efficient systems to manage data connections and transfers between the donor database and other FIA systems.
- With support from an external donor-data-management vendor, oversees the processing of all gifts via mail, credit card, online, and stock transfer.
- Strategizes and manages implementation of data enrichment services, determining the best use of the donor database features to accomplish the goals of FIA.
- Manages vendor relationships to support advancement services and operations.
Gift Entry, Acknowledgments & Reconciliation
- Manage the process of entering and/or uploading gifts into the database with appropriate coding and packaging—working with fundraising and Finance staff to ensure that coding is aligned for proper reporting function.
- Produces acknowledgment letters/tax receipts while checking for grammatical/typographical mistakes and knowledge of practical tax receipting protocol.
- Generates pledge reminders and invoices.
- Batches all cash, checks, and credit card donations to the Finance Department on a timely basis.
- Manages the month-end process, troubleshooting, and auditing data to ensure the smooth transfer of data to the Association’s Accounting
- Department as well as performing a monthly reconciliation report and review with the fiscal team.
- Represents the Development Department for the annual independent financial audit
Reporting and Other Functions
- Develops reports and manages the regular distribution of data, including daily revenue report.
- Works with the Communications Department to support sharing of data and information across the donor database and other platforms.
- Produces queries, reports, lists needed by development staff as needed for mailings, events, board give/get, and moves management.
- Creates custom “dashboards” for development staff that demonstrate revenue progress in real-time and manages tasks and actions.
- Occasionally work evenings or weekend special events which may require travel.
- Train staff and interns on relevant database systems.
- Oversee development interns and assistants.
- Other reasonable duties as assigned that relate to nonprofit development services.
Qualifications:
- Staff supervision experience; the ability to manage external vendors; and experience reconciling gift receivables with the Finance/Accounting Department.
- Three to five years of donor database software system experience and expertise in a nonprofit development environment—Salesforce, Raiser’s Edge preferred.
- Proficiency in Microsoft Office, Google Suite, Zoom
- Excellent interpersonal oral and written communication skills required.
- Possession of pleasant and collaborative style in the workplace including professional attitude, attention to detail, dependable and the ability to take initiative.
- Someone with strong analytical and organizational skills who takes pride in managing databases and is passionate about helping donors.
Work Environment:
- Moderate level of stress caused from tight deadlines.
- Moderate level of mental and/or visual fatigue and/or eyestrain may result from looking at a computer screen for extended periods of time.
- Occasional work outside of normal business hours is required along with periodic travel.
- Valid driver’s license and auto insurance preferred.
Compensation:
- A Full Time position
- The salary is $104,361.
